Rental Terms and Conditions
Person Responsible for the Event Venue
Each reservation must have a designated responsible person who must be present at the event venue and reachable by phone throughout the entire reservation period. The responsible person is required to:
- Accept the venue rental agreement and receive the electronic access code for the venue.
- Complete the venue inspection checklist immediately upon arrival.
- Ensure that the venue is used in compliance with applicable laws, AYY's General Rules for Rental Venues, and good conduct.
- Ensure that unauthorized persons do not enter the venue.
- Ensure compliance with the venue’s maximum occupancy limits and safety instructions.
- Immediately report any disturbances, defects, or safety concerns to AYY, the police, or the fire department, as appropriate.
- Inform AYY if any property is damaged or goes missing during the reservation period and be responsible for any resulting compensation and replacement costs.
- Ensure that the venue is used only during the reserved time period and that all participants leave when the reservation ends.
- Ensure that all doors are properly locked when leaving the venue.
- Report any disturbances, defects, or irregularities either during the reservation or immediately after it ends (no later than within 24 hours following the reservation). Liability relief requires such a report to be submitted.
- Provide photographic evidence of any defects, damage, or disturbances upon request.
Other Terms of Use
In addition to the instructions contained in this rental agreement, AYY’s Rules for the Use of Rental Venues and any age restrictions established by the AYY Board must always be observed.
Violation of the venue rules will result in the sanction fees specified in those rules. In addition, the following apply:
- Extending celebrations or activities beyond the reserved rental period is strictly prohibited. The house rules of AYY properties, including designated quiet hours, must be followed at all times.
- Smoking indoors is strictly prohibited.
- Instructions given by an AYY representative must always be followed. The renter is responsible for the cost of any unnecessary maintenance or emergency service call-outs.
- Reservations must be cancelled no later than 14 days before the start of the reservation period. For cancellations made after this deadline, AYY reserves the right to charge the applicable event venue rental fee in accordance with its pricing schedule. Cancellations must be made by phone or email.
Penalties and Compensation
- The penalty for failing to complete the inspection checklist is €30.
- If this rental agreement or the associated AYY Rules for the Use of Rental Venues are violated, the renter shall be liable for compensation.
- For damaged or missing movable property, compensation will be charged based on the replacement cost and installation expenses.
- Serious violations of the venue rules may result in a partial or permanent ban from using AYY’s rentable venues, as well as the filing of a police report when warranted.
The amount of compensation will be determined by AYY’s Service Office in accordance with the sanction amounts specified in the rules. Additional information regarding sanctions is available on AYY’s website.
The venue you have rented is shared property belonging to AYY members. Please treat the venue and its furnishings with care and respect.
This rental agreement becomes binding when the person making the reservation accepts these terms and conditions through the reservation form and receives the venue key or access code.
AYY reserves the right to make changes to these terms and conditions. AYY also reserves the right to cancel or modify a confirmed venue reservation due to significant restrictions, operational changes, or other circumstances beyond AYY’s control. AYY shall not be liable for any damages or financial losses resulting from such changes or cancellations. Furthermore, AYY may terminate or cancel an event at any time if it causes significant disturbance or poses a risk to safety.
